There are different levels of editing based on how refined the text is and the author’s expectations.


In copyediting, the editor:

  • Deletes unnecessary words.
  • Substitutes new words for any that are misused or awkward.
  • May rearrange copy to create a more logical flow of ideas.
  • Corrects spelling mistakes, typos, punctuation, capitalization errors, and formatting errors.
  • Corrects incorrect or awkward grammar.
  • Ensures consistency in spelling, hyphenation, and numerals throughout the document.
  • Checks sequencing (such as alphabetical order) and cross-references (for example, references to tables).


Proofreading involves reading the final draft to make sure all errors have been eliminated. It mainly involves looking for errors or omissions, not improving the writing style or tone.

Proofreading may include some copyediting tasks, if needed.

Those are:

  • Correcting spelling mistakes and typos.
  • Pointing out or correcting formatting errors.
  • Punctuation mistakes.
  • Obvious grammar errors.
  • Inconsistent word usage.

Line Editing

If your work needs more help than copyediting or proofreading, your manuscript may need line editing. In line editing your work will be polished and reworked to improve the clarity and flow. Facts are checked and corrected, sections may be rearranged, and subheads and chapter titles may be rewritten.

Line editing includes everything that comes with basic copyediting plus:

  • Checking the soundness of general paragraph structure.
  • Checking for clarity, sense, word choice, redundancies, and inconsistencies in narrative voice.
  • Ensuring parallel structure of text and headings.
  • Querying the author about inappropriate figures of speech and conflicting statements.
